Why: Use case received in incident 7103396 summarized: Our center records all staff meetings on Zoom which are scheduled using our director's Zoom account. Currently, the only person able to access the recordings is our director. We would like to allow someone else in the center to receive the recording links so that our director no longer has to share these manually.
Status: Not approved due to HIPAA compliance issues for Secure Zoom accounts. Need to consult the Office of Compliance for further feedback.
Workaround: Having someone else schedule the meetings so that their accounts receives the recording links instead of the director. Another option is having the co-host record during the meetings and save recordings to their computer.

Emeriti who are actively engaging with campus are requesting eligibility for UW-Madison Zoom so they do not need to use a personal Zoom account for professional meetings.
@SQUITIERI Hi Alex! Thank you for reaching out. Currently, we have a limited number of Zoom Room licenses so that is an option. I'll reach out to you separately with additional information and how to request a license.
Physics has a conference room in Sterling Hall that used to have ZR license and installation. Multiple people regularly hosted meetings from the shared computer. In 2020 ZR went away with the demise of service accounts and empty buildings. Since returning we use personal campus zoom accounts to run meetings and use the computer, projector,cameras and room audio as a remote participant. While this works more or less adequately our PI prefers ZoomRooms behavior and would like to purchase a license.
This has been implemented. All eligible Zoom users will have this automatically enabled
Service accounts (e.g. something@sub.wisc.edu) can be licensed and managed with Zoom, but currently needs to be facilitated via a WiscIT ticket.
Due to limited zoom licenses we need to vet requests based on current criteria. Because of this, unfortunately, this feature request cannot be approved.
A common workflow is for people to use a shared service account to host a large meeting or webinar, and use their NetID account for normal Zooming. The Zoom client's integration with web-based NetID Login prevents people from logging into multiple accounts.

Per a reply I receive from a helpdesk inquiry, I am explicitly requesting that UW Madison allow Zoom to integrate with UW Madison Google calendar. The current permissions block this integration, but the ability to integrate with Google calendar is built into the Zoom application, so it should be a simple matter of allowing the integration.
To forestall the quick reply “I like outlook, just change what calendar you use” I will reply back that I investigated calendar options a great deal in 2015 when the Office 365 conversion happened and chose Google calendar after researching what Outlook would and would not do.

Google is not meant to be primary calendar and a lot of work would have to go into this integration (ex: have to run it all through cybersecurity and office of compliance) so at this time we are closing this issue
After seeing how Harvard is able to leverage linking multiple zoom rooms and by using APIs in Crestron room controls to trigger Zoom room launches from web enabled distance/hybrid classrooms does UW Madison have any plans to eventually license zoom rooms?
